Establish one accountable contact

Decide who reviews new requests and who confirms the operational arrangements. A shared internal process is more useful than leaving several people to assume someone else replied.

Separate publication from allocation

A published tour is an offer. A confirmed departure also needs a real guide, transport where relevant and any promised resources. The company must check those resources before accepting; the platform does not allocate individual staff automatically.

Keep parallel bookings realistic

Company accounts can operate parallel departures, but that permission is not an operational guarantee. Use your internal schedule to ensure one guide or vehicle is not promised to two groups at once.

Record clear changes

Confirm changes with the traveler through the platform conversation. Update future listings where necessary, but remember that an existing booking retains the terms recorded when it was requested.

Review the exceptions

Look at declined requests, late replies, cancellations and recurring guest questions. These can reveal unclear descriptions or unrealistic capacity. Improve the workflow instead of measuring success only by the number of listings.
